Conditions of Participation at Full Out Camp

These general terms and conditions of participation (hereinafter the “Terms”) govern the rules for participation of a participant (hereinafter the “Participant”) in the Full Out Camp dance intensive (hereinafter “FOC”).
By submitting a completed application via the website www.fulloutcamp.cz, the Participant, or their legal guardian, confirms that they have read the contents of these Terms and agree to them.

The General Terms and Conditions (hereinafter "GTC") govern the legal relationship between Movement Factory, z.s., ID: 08 622 396, with registered offices at Malé náměstí 76, Veselí nad Lužnicí II, 391 81 Veselí nad Lužnicí (hereinafter the "Promoter") and the participant or their legal guardian, (hereinafter the "Participant") that follows from the contract on the provision of services, or registration for Full Out
Camp (hereinafter "FOC"). The GTC govern the mutual rights and obligations of the Promoter and the Participant in relation to FOC.

1 BASIC DEFINITIONS
1.1.
FOC is a dance intensive with international instructors held on the dates listed on the website www.fulloutcamp.cz, intended for individual dancers as well as dance groups.
1.2. The organizer of FOC is Movement Factory z.s., Company ID: 086 22 396, with registered office at Malé náměstí 76, Veselí nad Lužnicí II, 391 81 Veselí nad Lužnicí, registered in the association register maintained by the Regional Court in České Budějovice under file number L 8442/KSCB (hereinafter the “Organizer” or “Association”).
1.3. A Participant means a dancer who has duly completed and submitted an application to participate in FOC.If the Participant is under 18 years of age, the application for participation in FOC and the related associate membership of the Participant in the Association is submitted by the Participant’s legal guardian, who also exercises the Participant’s rights and obligations.
1.4. The FOC Rules are the operational rules available on the website www.fulloutcamp.cz, which every Participant must comply with during participation in FOC (hereinafter the “FOC Rules”).

2 REGISTRATION
2.1.
Participation in FOC (and the related associate membership of the Participant in the Association) is possible exclusively through a properly completed and submitted application in the form of an online form on the website www.fulloutcamp.cz.A properly completed and submitted application is binding for the Participant. The registration becomes valid upon submission of the application; it does not become valid only after payment of the membership fee for associate membership in the Association. In case of limited capacity, the date of payment of the membership fee is taken into account.
2.2. By submitting the application, the Participant confirms that they have thoroughly familiarized themselves with these Terms and the FOC Rules and fully and unconditionally agree to them.
2.3. By submitting the application, the Participant also confirms that they are sufficiently aware of their health condition and that their health condition fully allows them to participate in FOC.
2.4. By submitting the application, the Participant applies for associate membership in the Association for the duration of FOC. During FOC, the Participant agrees to comply with these Terms, the FOC Rules, and the statutes of the Association.Upon receiving the application, the Organizer will send the Participant a confirmation of acceptance of the application for participation in FOC (and the related associate membership in the Association).
2.5. The subject of the Participant’s associate membership in the Association is the Organizer’s commitment to provide dance instruction or other activities according to the FOC program published on the website, and the corresponding obligation of the Participant to pay a membership fee for the associate membership.

3 TERMS OF PAYMENT
3.1.
The amount of the membership fee for associate membership during FOC for junior and adult levels is listed on www.fulloutcamp.cz.The membership fee does not include additional items (e.g. accommodation, transport, merchandise, insurance, etc.) which the Participant may request; the prices of such additional items are also listed in the registration form.
The total participation fee (including optional additional items) is stated in the application completed on the website and subsequently in the confirmation email sent to the Participant under section 2.4.
The total amount consists of a non-refundable deposit and a remaining balance, the amounts of which will be specified in the confirmation email.
Discounts on the membership fee for partner studios are handled individually.
The non-refundable deposit may be refunded if the Participant finds a replacement participant when cancelling their participation.
3.2. After receiving the confirmation from the Organizer pursuant to section 2.4, the Participant must pay the non-refundable deposit according to the payment instructions in the confirmation email within 7 days.If an extension of the payment deadline is needed, the Participant must contact the Organizer at info@fulloutcamp.cz.
3.3. The remaining balance must be paid no later than April 30 of the calendar year in which FOC takes place.If the application is submitted between May 1 and July 15, the Participant must pay the full amount within 14 days.
3.4. If the Participant fails to pay the remaining balance on time, the Organizer will request payment in writing within an additional reasonable deadline.If the Participant still fails to pay, the Organizer may cancel the Participant’s application and charge a cancellation fee according to Article 4.

4. CANCELLATION POLICY
4.1. The Participant may cancel their application at any time before the start of FOC by sending a written notice via email to info@fulloutcamp.cz, subject to the following cancellation conditions.
4.2. If the Participant cancels their registration or the registration is cancelled under section 3.4, the Participant must pay a cancellation fee depending on the time before the start of FOC:20% of the remaining balance if cancelled 89–60 days before the start of FOC50% of the remaining balance if cancelled 59–30 days before the start of FOC80% of the remaining balance if cancelled 29 days or less before the start of FOC100% of the remaining balance if cancelled 7 days before the start or later
4.3. The cancellation fee must be paid according to the Organizer’s instructions.If the Participant has already paid the remaining balance, the Organizer will refund the amount minus the cancellation fee.The non-refundable deposit is forfeited and retained by the Organizer.
4.4. The obligation to pay the cancellation fee does not apply if the Participant finds a replacement participant and informs the Organizer in writing without undue delay.
4.5. Cancellation insurance due to illness or injury
The Participant may purchase cancellation insurance from the Organizer covering illness or injury.Price: 590 CZK.
If purchased, the Organizer will refund the entire deposit and balance if cancellation occurs more than 14 days before the start of FOC, provided that the Participant submits a medical certificate before the start of FOC.
4.6. Cancellation insurance without giving a reason
The Participant may purchase cancellation insurance without giving a reason.Price: 990 CZK.
If purchased:the Organizer refunds the entire deposit and balance if cancellation occurs at least 14 days before the start of FOCthe Organizer refunds the entire balance but keeps the deposit if cancellation occurs less than 14 days before the start

5. CONDITIONS OF PARTICIPATION
5.1.
The Organizer reserves the right to change activities, including instructors. Participants must be informed without undue delay.
5.2. If FOC cannot take place due to force majeure, the Organizer may cancel or terminate the event early without obligation to refund the membership fee.
5.3. If the Participant provides false or incomplete information, the Organizer may cancel their participation and membership, applying the cancellation conditions.
5.4. The Participant must comply with the FOC Rules throughout the entire event.
5.5. The Organizer may exclude a Participant during FOC if they violate the FOC Rules or if their health condition is unsuitable (especially if it endangers others).In such a case, the Participant bears all costs related to ending their participation.
5.6. The Participant must inform the Organizer in writing about all known health limitations.By submitting the application, the Participant confirms they are medically fit to participate.Any risks arising from undisclosed health conditions are borne by the Participant.

6. PERSONAL DATA OF PARTICIPANTS
6.1.
By submitting the application, the Participant consents to the processing of the following personal data:name, surname, date of birth and addressemail address and phone number of the Participant and possibly their legal guardianphotographs of the Participantvisual and audiovisual recordings of the Participantany other records by which the Participant may be identifiedinformation contained in documents submitted to the Organizer (e.g., health insurance card, medical fitness certificate, declaration of non-infectiousness, etc.)
6.2. The Participant confirms they have been informed about personal data processing under GDPR Regulation No. 2016/679, including:
– legal basis: voluntary consent under Article 9(2)(a) GDPR
– categories of recipients: the Organizer may authorize third-party processors
– purpose: administration and organization of FOC and sending information about other events
– retention period: during FOC and 10 years after its completion
rights of the data subject:
– withdraw consent
– access personal data
– rectification or deletion
– restriction of processing
– objection to processing
– data portability
– file a complaint with the Czech Data Protection Authority

6.3. By submitting the application, the Participant grants the Organizer permission to create and use audio, visual, and audiovisual recordings of the Participant and to modify and publish them for promotional purposes (social media, website, posters, billboards, advertising, etc.).
6.4. The Participant confirms they have been informed about personal data processing and that the information provided is complete, truthful, and accurate.

7. TERMS FOR PROVIDING SPECIAL EVENTS
As part of FOC, the Organizer offers participation in a special event called “One Day Pass”, announced on the website.
This event can be attended independently from the full-week FOC participation.
If the Participant registers only for the Special Event, these Terms apply with the following differences:
– the general payment terms in section 3 do not apply
– the membership fee is listed on the website and in the registration confirmation email
– additional services (e.g. meals) may increase the price
– payment must be made by bank transfer according to instructions in the confirmation email

Cancellation terms differ:
– cancellation 14 days or more before the event → 100% refund
cancellation less than 14 days before → no refund
Exceptions apply if:
the Participant finds an approved replacement
cancellation is due to illness or injury and a medical certificate is provided

If the Participant attends both the Special Event and the full FOC, the full Terms apply without these deviations.

8. FINAL PROVISIONS
8.1. These Terms are valid from March 8, 2026.
8.2. The Organizer may amend these Terms at any time.The current version will always be published on the Organizer’s website.The version effective on the date of the Participant’s application is binding for that Participant.
8.3. If any provision of these Terms becomes invalid or ineffective, the remaining provisions remain valid.
8.4. All membership conditions related to participation in FOC are governed by the laws of the Czech Republic.
